Privacy Policy — VMS Driver App

VMS Driver App (the “App”) is provided by RESFUTA LLC, operating as Vertex Freight (the “Company,” “we,” “us”), for use by our authorized drivers and personnel. This policy explains what information the App collects, how it is used, and the choices you have.

1. Information We Collect

Account & identity information. When you sign in, we process your work email address and the driver/account identifiers issued to you by the Company in order to authenticate you and show your assigned loads.
Location information. With your permission, the App uses your device’s location to calculate remaining miles, estimated time of arrival, and recommended fuel stops for your assigned route. Location is used while you are using the App; the App does not track your location in the background.
Documents and photos. When you capture or upload Bill of Lading (BOL), Proof of Delivery (POD), pre-trip inspection (PTI), or fuel receipt documents, the App processes the resulting images/files and submits them to the Company’s systems.
Camera and microphone. The App uses the camera to scan and capture documents. Microphone permission may be requested by the document-scanning component; audio is not recorded or stored by us.
Vehicle & load data. Information about your assigned vehicle and loads (such as unit number, fuel level, and trip distance) is processed to provide App features.

2. How We Use Information

To authenticate you and provide access to your assigned work.
To display routes, remaining miles, ETA, and recommended fuel stops.
To submit inspection reports, delivery documents, and receipts to the Company.
To operate, maintain, secure, and improve the App.

3. How We Share Information

The App transmits the data above to the Company’s own backend systems and to service providers that host those systems on our behalf (for example, cloud hosting and mapping/navigation providers). We do not sell your personal information, and we do not use it for advertising.

4. Data Retention

Documents and operational records are retained for as long as needed for the Company’s business and recordkeeping requirements. Authentication data is retained for the duration of your access to the App.

5. Security

Data is transmitted over encrypted connections (HTTPS). Authentication tokens are stored using the device’s secure storage. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.

6. Your Choices

You can grant or revoke camera and location permissions at any time in your device settings. Some features will not work without them.
Because the App is provided for Company business use, account and document data is managed by the Company. To request access or deletion, contact us using the details below.

7. How to Request Data Deletion

You may request deletion of the personal data associated with your VMS Driver App account (provided by RESFUTA LLC, operating as Vertex Freight). To make a request:

Send an email to anvarjon@vertexfreight.net.
Use the subject line “VMS Driver App – Data Deletion Request.”
Include your full name and the work email address you use to sign in to the App so we can locate your account.

We will acknowledge your request and complete it within 30 days.

Data that is deleted: your account and authentication data (work email address and driver/account identifiers) and your location data.

Data that may be retained: operational and compliance records you submitted — such as pre-trip inspection (PTI) reports, Bill of Lading (BOL), Proof of Delivery (POD), and fuel receipts — may be retained after your account is deleted where we are required to keep them for legal, tax, safety, or business recordkeeping obligations. These records are kept only for as long as required by applicable law and then deleted.

8. Children’s Privacy

The App is intended for use by Company personnel and is not directed to children under 13. We do not knowingly collect data from children.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
